WeeklyShop Privacy Policy
WeeklyShop is an iPhone app that plans a Week of main meals from your Household's Recipes and builds the Shopping List to cook them. This policy explains what information the app and its server hold about you, why, where it is kept, and what happens when you delete your account.
Who we are
WeeklyShop is provided by Birchfield Solutions Limited, Birchfield House, Kirkhill, Inverness, IV5 7PF ("we", "us"). We are the data controller for the information described here. You can contact us at admin@birchfieldsolutions.com.
What we hold about you
- Your Apple user identifier. You sign in with Apple. Apple gives us a stable identifier for you that is unique to WeeklyShop. We use it to recognise you when you sign in.
- Your name, if Apple shares it. Apple only offers your name the first time you sign in, and you can change or hide it on Apple's sign-in sheet. We use it to show other Members of your Household who is in it. If no name is shared, you appear as "Member".
- No email address. WeeklyShop does not ask Apple for your email address and does not store one.
- Your Household's content. The Household's name and Invite Code, its Primary Food Types, Ingredients, Recipes, Weeks and their Planned Meals (including one-off meals you type in), Regulars, Extras, which Regulars are left off a given Week's Shopping List, and Household settings such as the day your week starts. The Shopping List itself is worked out from these each time and is not stored separately.
- Sign-in sessions. For each device you are signed in on, we keep a record of the session so it can be kept going without signing in again. A session ends when you sign out on that device, or after 14 days without the app being used.
- An encrypted Apple token. When you first sign in, Apple gives us a token that lets us disconnect WeeklyShop from your Apple ID when you delete your account. We keep it encrypted and use it for nothing else.
On your iPhone, the app keeps your sign-in session in the iOS Keychain. It does not access your contacts, photos, location, camera or microphone.
Why we use it
Only to make the app work: to sign you in, to keep your Household's Recipes, Weeks and Shopping Lists, and to share them with the other Members of your Household. The legal basis is that this is needed to provide the service you asked for (contract).
We do not track you, show ads, sell or rent your information, or use it to build a profile of you. The app contains no third-party analytics, advertising or tracking code.
Crash reports and diagnostics
If you have chosen to share analytics with app developers in your iPhone's settings (Settings, Privacy & Security, Analytics & Improvements), Apple may send us crash reports and performance statistics for WeeklyShop. These come through Apple, under Apple's terms, and depend only on that setting. The app also receives Apple's on-device performance and diagnostics reports (MetricKit) and writes them to the iPhone's own system log; it does not send them to us.
Who else sees it
- Other Members of your Household. Everyone in a Household sees and can change the same Recipes, Ingredients, Weeks, Regulars, Extras and Shopping Lists, and sees the names of the other Members. Anyone with your Household's Invite Code can join it, so share the code only with people you want in. You can get a new code in the app, which stops the old one working.
- Microsoft Azure. Our server and database run on Microsoft Azure in the UK South region (London). Microsoft acts as our processor, storing and running it on our behalf.
- Recipe websites you import from. When you import a Recipe from a web address, our server fetches that page to read the recipe, so the website sees a request from our server, not from your iPhone. We don't keep the address or the page; only the Recipe you choose to save is kept.
- Apple. Sign in with Apple is provided by Apple. When you sign in, and when you delete your account, our server talks to Apple to confirm who you are and to disconnect WeeklyShop from your Apple ID. Apple's own privacy policy covers what Apple holds.
We do not share your information with anyone else unless the law requires us to.
Server logs
To keep the service running and fix faults, our server records technical logs and request information in Microsoft Azure (Application Insights): for example which part of the service was called, when, whether it worked, how long it took, and internal reference numbers. These logs are designed to hold identifiers, not your content: they do not record your Recipes, Ingredients, names, or sign-in tokens. They are kept for 30 days and then deleted automatically.
How long we keep it
We keep your information for as long as you have an account. Expired sign-in sessions are cleared automatically. Database backups made by Azure are overwritten within 7 days.
Deleting your account
You can delete your account at any time in the app: Settings, then Delete account. When you do:
- Your account, your Apple user identifier, your name and all your sign-in sessions are deleted straight away, and every device you were signed in on is signed out.
- We ask Apple to disconnect WeeklyShop from your Apple ID. If Apple can't be reached, your account is still deleted at once, and we keep only the encrypted Apple token, not linked to you, to try again in the background for up to 7 days. It is deleted as soon as Apple accepts it, or after 7 days at the latest.
- If other Members share your Household, the Household stays with them, along with its Recipes, Weeks and Shopping Lists, including anything you added. Your name no longer appears in it.
- If you are the last Member of your Household, the Household and everything in it is deleted too.
Deletion can't be undone. Copies in server logs and backups expire on the schedules above.
Children
WeeklyShop is not directed at children and is meant for adults planning a household's meals and shopping.
Your rights
Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to ask for a copy of your information, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. You can delete your account yourself in the app; for anything else, email admin@birchfieldsolutions.com. We will reply within one month.
If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or 0303 123 1113.
Changes to this policy
If we change this policy, we will update it on this page and change the "Last updated" date above. If a change affects how we use information you have already given us, we will let you know before it takes effect.
